Joining Healthroam

Healthroam is free for eligible organisations to join, with no one-off setup charge to become part of the service.

Organisations can use Healthroam for secure user access, connected site access, or both. Subscriptions can be purchased at any time, either directly from us or through one of our approved channel partners. Eligible organisations may also apply to connect existing site infrastructure to the Healthroam service, subject to technical approval.

Eligibility

Healthroam is designed for the health and social care sector, with a focus on improving secure access, productivity and collaboration. We may also consider applications from other relevant organisations where there is a clear operational or service need.

To join Healthroam, an organisation must meet at least one of the following criteria:

  • be more than 50% publicly funded
  • have charitable status
  • be a commercial organisation providing services to a health or social care body

Where relevant to the services being accessed, organisations must also hold the appropriate NHS organisational identifiers and approvals, including a valid ODS code and any required connection governance documentation.

Costs

Healthroam does not charge any one-off onboarding or setup fees. Charges apply on a subscription basis only.

Healthroam does not apply a standard offboarding fee. However, if offboarding requires additional technical work outside normal service scope, such as the removal of customised access configurations or alternative identity provider settings, a charge may apply where appropriate.

What’s included

Each Healthroam subscription includes a standard secure access configuration as part of the service. This may include authentication through NHS Mail or another approved identity provider, secure remote access capability, access controls, and connected site access features where applicable.

A standard configuration is supplied unless customisation is requested. Where required, Healthroam can also support alternative identity providers, tailored access settings, additional configurations, digital certificates, and site-specific access controls.

If a customer chooses to use its own compatible client software, a suitable access profile may be supplied. Unless otherwise agreed, the use of customer-supplied software is at the customer’s own risk and remains subject to the applicable service terms and compatibility requirements.

Customer responsibilities

Customers are responsible for ensuring that:

  • all onboarding information is accurate and kept up to date
  • only authorised users access the service
  • local infrastructure, devices and identity systems are appropriately managed and secured
  • they hold any permissions, approvals or governance documentation needed for the systems and services they access through Healthroam

Healthroam provides secure access capability, but it does not itself grant entitlement to third-party systems, applications or services.
